Midnight Auto Supply currently have great potentials for capturing a large percentage of
the auto part supply business in the St. Louis Metropolitan area, and believe the
business will benefit from automating its operation. Midnight Auto Supply is in need of
a computer system that will handle all of its current daily management activities, in a
faster and more efficient manner. Presently, Midnight Auto Supply is operating out of
three locations, the main store and headquarters is located in Manchester, Missouri; the
other two locations are in St. Charles, Missouri and Afton, Missouri. After implementing
this new computer system, Midnight Auto Supply will have the capability to successfully
compete or surpass all of its current competitors in the St. Louis metropolitan area. My
company, the ABC Software Solution, propose that an A1 system be developed, which will
allow all three stores to become fully automated. The A1 system will grant Midnight Auto
Supply the ability to keep all their daily records and activities in real time mode;
along with ensuring that all daily management activities are produced in a more effective
and efficient manner. The A1 system will also accomplish the following tasks:
1. Keep an accurate status of inventory, by part number.
2. Determine the location of all parts (Manchester, St. Charles and Afton locations).
3. Maintain a list and cross reference by manufacture names, part class and part number.
4. Generate purchase orders.
5. Perform all payroll functions, which includes issuing paychecks and preparing address
labels for mailing checks.
6. Maintain all account payable information.
7. Maintain all account receivable data.
Problem: Midnight Auto Supply is a growing company in the auto supply industry, which
consist of three stores located in the St. Louis metropolitan area. Midnight Auto Supply
currently does all of its reports, purchases, accounts receivable, accounts payable and
payroll functions manually. Midnight Auto Supply is constantly having problems in
keeping track of its incoming parts. Midnight Auto Supply's accounts receivable and
accounts payable department is having a very difficult time keeping accurate records
manually and expeditiously. Midnight Auto Supply currently has no idea what its
inventory is composed of at each of its three store locations. Midnight Auto Supply is a
small company with a limited budget, and is growing fast, they are eager to rectify their
existing problems through the use of automation.
Solution: After reading and analyzing the project information sheet, ABC Software
Solution recommends the following: Using the Access Database Management System to build
the database (see Overview), all three stores will be linked via the Internet. The
database will be backup ever fifteen minutes. Each store will have a dedicated T1
telephone line connected to the client/server. The software Access Database Management
package will be used to allow for real time processing, which will automatically update
the database. All payroll functions, will be done at the headquarters store in
Manchester include processing.rters location. Account payable and account receivable
transactions will be prepared at the headquarters . Each store will have its own
personal computer, which will serve as a client/server and workstation, along with two
hand held scanners connected to the personal computer and the workstation. The hand held
scanners will be used to scan in inventory at each store, and all purchase and return
transaction will be scanned into the computer. ABC Software Solutions recommend setting
up and using a web page via the Internet, so that prospective customers can place orders
24 hours a day, 7 days a week. The World Wide Web (WWW) will also allow Midnight Auto
Supply to have the capability to contact its supplier via the Internet to place orders.
ABC Software Solution will install in each store, a one NEC 9624 Pentium Plus as its
client server, with a 200 MHz processor, a 15' Multisync XV15+ monitor, a 4.0 gigabyte
hard drive, a NEC standard keyboard with hot keys to access the database immediately, a
Hewlett Packard Deskjet 820Cse printer and one workstation with hot keys. Our company
chose the Access Database software to build the database for all support (see overview),
because of its user friendliness, stability, and its compatibility to interface with
most software. Access is extremely flexible and our analyst can build a customized
database to handle your company's daily management requirement.

design phase. The critical information is listed in the Requirement Document (RD). Our

Requirement Document.
THE PHASE PLAN

DEFINITION: With the signature of Mr. Valve or the company's designated representative,
ABC Software Solution will help write the RD, (see Solution). An analyst will assist
your staff in writing the RD to ensure that all details have been covered.
ANALYSIS: During this phase, a Functional Specification (FS) will be established, which
will consist of a cost analysis, a milestone schedule, a milestone deliverables, all with
a fully written detail description. Our analyst will assist your staff in writing the
(FS). A signature on the FS will be required prior to the start of the Design phase.
The prototype will begin at this phase.
DESIGN: A test database will be designed, which will include menus and screens. A
demonstration and sample data will be provided to the Midnight Auto Supply staff, in
order to ensure that all specifications have been met. After your company staff have
closely analyzed and reviewed the demonstration and sample data, a signature of approval
will be required by Mr. Valve or the company's designated representative. This phase
will be frozen once the signature has been authorized and any changes after this stage
can result in a substantial increase in the firm fixed price and may change the schedule
of completion date.
Acceptance Plan Test (APT): The APT will require a signature from
Mr. Valve or the company's designated representative, which will approve all the above
phases (Definition, Analysis, Design). Once all modules have been completed for
integration and testing, there will be a final system review. If all phases are
accepted, a signature from Mr. Valve or the company's designated representative will be
required for approval.
PROGRAMMING: The programming modules will be designed as follows:
Mod A is for menu & screens Mod B is for payroll system
Mod C is for accounting system Mod D is for purchase order system
Mod E is for the supply system Mod F is for inventory
Mod G is printing checks Mod H will interface of Mod A-G
SYSTEM TEST: The Programmer, Test Engineers and the Project Manager will test the system
for quality assurance. At this phase all the integrated systems will be working together
properly. If any unforeseen problems exist any and all adjustment will be made.
ACCEPTANCE: All terms from the APT will be implemented. The employees and staff at
Midnight Auto Supply will be given a demonstration of the complete system. If any
unforeseen problems occur, additional programming changes will be applied at this time.

DELIVERABLES
Computer: The first delivery will be at the Headquarters store in Manchester. We will
install the 15' NEC Multisync XV15+ Monitor, the Hewlett Packard printer, the NEC
standard keyboard and the hand held scanner. The operation system (WINDOWS 97) , along
with the prototype software, Netscape (web page) as well as all of the custom written
software (ACCESS) will be installed at the operation and installation phase during the
second week of March 1998 and will be completed during the first two weeks of April 1998.
Hardware: The Pentium Pro Process with 32 MB of RAM expandable to
128 MB. The expansion of RAM will be sufficient for the next 4 to 5 years. The A1 has a
4.0 gigabyte hard drive which includes a 56.6 data/fax modem from BOCA. At the current
time the 4.0 gigabyte is the latest and the largest on the market. The 56.6 data/fax
modem is currently the fastest on the market, it will take your company well into the
future. The 12V Multispin CD ROM Reader is also the fastest and the best in quality on
the market today.
MONITOR: NEC 15' Multisync xv15+ with a .28mm dot pitch.
KEY BOARD: NEC Standard with function keys.

will train each store for 1 week. The last week we will have a analyst at each store to
make all finalization.

completed within fourteen working days. During the training, a full set of documentation
and user manual, will be issued at each site. The project manager will begin a training
session at each store. Each session will take five working days to complete and consist
of how to properly startup the A1 system, backup the database, restore/recover data and
shutdown procedures. The training session will also cover use of the scanner devices.
